The Subcontracting and Partnership Exchange (SPE) is responsible for marketing and managing the exposure of SISPI 2022. SPE is hereinafter referred to as “The Organizer”.
To be valid, this form of a request to participate must be sent to SPE by mail, fax or e-mail. If sent via email, it will have to Be previously scanned and signed before being sent. To be taken into account, any request registration and booking must bear the signature of the subscriber. The signature affixed to the form(s) application to participate constitutes a firm commitment to space rental and represents for the signatory the acceptance of present general conditions of sales and conditions of exposure. A deposit of 50% of the amount total due will be invoiced from receipt of application form of participation. This deposit is due on receipt of the invoice to guarantee the reservation. No verbal or telephone agreement shall be binding on SPE unless it is followed by written confirmation.
In any event, the balance of the exposure must be settled by 30 October 2022, at the latest. Failure to pay the balance on that due date will result in a ban on the use of the reserved areas, without a refund of the deposit paid. The allocation of locations is done in the order of arrival of the participation and booking application forms, and is subject to full payment of the participation fees due, on the one hand, and the agreement of the BSTP on the other. Once the sites have been assigned, no changes will be made without the written consent of SPE. In all cases, the balance of the exposure participation must have been set in full before the event. No exhibitors will be allowed to start the layout of their space in the absence of the Regulation of the said balance. The exhibition plans are not contractual. They are subject to acceptance by local and regional authorities and must also be endorsed by the fire safety services. However, BSTP reserves the right to change the location, size, and layout of the exhibition space if deemed necessary.
ADMISSION OF APPLICATIONS
«The Organizer» reserves the right to refuse applications that do not meet requirements and expectations or for any other reasons. They are also growing the right to limit or prohibit the use of the assigned surfaces, in whole or in part, if they contravene the brand image of the exhibition.
As an organizer, SPE is the only entity entitled to receive the regulations relating to the exhibition. The deposit paid on the amount of the entry in the exhibition may be made: by bank transfer to the order of: BSTP by credit card: VISA / MASTER CARD / EUROCARD. The bank details will be provided later on the invoice. In case of payment by bank transfer, please specify on the transfer order the reason for payment and the invoice number.
CANCELLATION (CONDITIONS APPLICABLE TO SPONSORS AND EXHIBITORS)
25 % of the agreed amount due if the cancellation occurs until June 30th, 2022. 50% of the agreed amount due if the cancellation occurs between July 1st 2022 and October 30th, 2022; 100% of the agreed amount due if the cancellation occurs after October 30th, 2022. After confirmation of the reservation of a site, any request for a reduction of the allocated area will be considered as a cancellation request and governed by the present cancellation conditions. A reduction in exhibition space may result in a change of location (decision to the discretion of the organizer). Failure to obtain a visa or failure to authorize customs shall in no case constitute grounds for reimbursement on the ground of annulation or non-participation.
Exhibitors are required to comply with the regulations in force at the exhibition site and in its region, as regards both public policy and safety and security procedures. “The Organizers” shall take appropriate action against any person who contravenes this Regulation. To this end, “The Organizer” shall be entitled to request the removal/modification of any structure not complying with the rules of procedure of the exhibition, or even to cancel the participation of an exhibitor. The decision made by “The Organizer” shall be binding.
ENTRY TO THE EXHIBITION
Access to the exhibition is restricted. The exact conditions of access will be specified in a document sent later to the exhibitors or posted on the website.
Exhibitors are not permitted to share the site assigned to them with other exhibitors without the prior written consent of the Organizer.
The signatory waives any recourse against the Organizer and owner of the premises and undertakes to purchase the necessary insurance policies for all risks incurred by the exposed material (theft, damage, etc.) as well as civil liabilities covering the fixed or interim staff of his company present at SISPI 2022. Under no circumstances will the exhibitor be covered by the Organiser’s insurance.
In case of force majeure, the dates of the exhibition could be brought to change or the exhibition could be canceled outright. In the latter case, the sums remaining available after payment of all the expenses incurred would be distributed among the exhibitors in proportion to the sums paid by them, without any possibility of recourse, nor against the organizer, or the director.
INTERPRETATION OF THE REGULATIONS AND AMENDMENTS IN FORCE
SPE is the only competent authority to settle the difficulties of interpretation and application of this Regulation. Costs arising from non-compliance with this Regulation shall be borne by the Exhibitor. SPE reserves the right to amend or supplement these Rules but will notify exhibitors.
Each registered exhibitor will receive an “Exhibitor’s Guide” a few weeks before the event. In any event, once the reservation deposit has been paid. This guide contains all the necessary information relating to the general conditions, safety rules, stand installation, and organizational conditions. It also includes a description of the stands,specifications, and plans. To meet any additional needs, also included are purchase orders and rates for the rental of furniture, decorative elements, and other necessary services (telephone, electricity, transport, stock-age, etc.).
OCCUPATIONAL HEALTH AND SAFETY RULES
The Exhibitor must ensure that its contractor and its employees comply with current occupational health and safety legislation and that any exposed material also complies with this legislation.
SPE will communicate exclusively with third-party companies officially mandated by the exhibitors and sponsors of the event. “The Organiser” shall not respond to requests for information from third parties which do not indicate the company they represent. It is the exhibitor’s responsibility to provide the exhibition secretariat with all the contact details of the third-party companies with which he works.
Press conferences organized by industry actors may be organized only at times specified by the “Organiser” of the exhibition. The exhibition secretariat must be notified of all planned press conferences and all journalists must be officially registered to participate.
PROMOTION ON THE SHOW
The promotion of the exhibition must be limited to the location assigned to the exhibitor or the meeting rooms rented by the sponsor/exhibitor. The signature of a participation contract (sponsor and/ or exhibition or any other form of participation in the Fair) implies the commitment of the signatory not to organize or promote conferences, congress, or other events during the official duration of the exhibition program, without the express consent of the organizing committee. Companies that would exhibit at an event other than the exhibition site will automatically have their participation canceled without «The Organizer» being liable for any reimbursement of expenses incurred. The “Organizer” of the exhibition reserves the right to deny access to rented premises to exhibiting companies other than the Exhibition.
